Job Summary We are seeking an Administrative Support Specialist 2  for our Insourcing Solutions site located in Bethesda, MD.

 

The following are responsibilities related to the Administrative Support Specialist 2:

•    Serve as a central point of contact for the AHCS, NINDS site to include providing assistance in person and via email.  

•    Actively interact with customers as required to solve customer requests, inquiries, and complaints and to provide assistance.

•    Must interact with investigators, DVR animal procurement and a variety of vendors.  Cross check animal orders with the Access data base for correct Principle/Ordering Investigator, approved protocol, available balance of animals, correct strain/species nomenclature, age, gender, weight and to ensure ASP is active.  Communicate details of deliveries to all concerned parties (investigator, facility managers, receiving care staff and loading dock manager).

•    Perform electronic data entry into an Access database and NBS CAPS. 

•    Provide support during bimonthly barcode inventory of active cages in the facility.  Activate and deactivate barcodes as needed to ensure accuracy of the database. 

•    Serve as the point of contact for animal ordering/receiving problems and coordinates with the facility and other office staff as required.

•    Serve as backup to the Animal Ordering Clerk responsible for coordination and completion of animal imports, exports and transfers.

•    Works with DVR small animal ordering section and investigators when animal orders have counter offers.

•    Notify AHCS PNRC and ACRF staff of “sensitive orders”, send notices to veterinary staff regarding sentinel animal orders and also notify the veterinarians of special concerns with incoming shipments (e.g. special housing, surgical models, etc.).

•    Prepare daily delivery sheets from the database and compare them to the due sheets from NBS CAPS.  Troubleshoot any discrepancies between the sheets.

•    Receive animal deliveries in both NBS CAPS and database the day after delivery.

•    Assist in receiving and allocating scrubs. 

•    Assist with loading dock support as needed. 

 

The following are minimum qualifications related to the Administrative Support Specialist 2 position:

•    Education:  High school diploma or general education degree (GED) required. 

•    Experience:  Minimum of 1 year administrative experience with experience in the animal care industry preferred. 

•    Certification/Licensure:  None required. 

An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
