  Job Summary  

The Administrative Assistant II will perform administrative tasks and transactions exclusively in support of a Charles River’s client site. The Administrative Assistant II will advance client objectives by monitoring work requests, tracking projects, managing correspondence, and providing deliberate and proactive follow-up. This role interacts actively with client personnel, principal investigators, and pathologists.

 

Schedule: 32 hours per week; Monday-Friday 9:00am-3:30pm  (remote)

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  Serve as principal point of contact between client and Charles River Pathology Associates (PAI)-Durham Coordinate project requirements; collate and relay information and requests to appropriate personnel Contact personnel for routine updates and to gather project deliverables Monitor period of performance for work requests and follow-up on action items to ensure deadlines are met Anticipate and resolve administrative challenges Submit paperwork for work requests; prepare other routine documents as requested  Compile data; submit monthly and yearly reports Establish and maintain files for archive and tracking purposes. May handle confidential files Use SAP to manage time keeping and project billing Attend monthly client core meetings Perform all other related duties as assigned or required Job Qualifications   High School or G.E.D. and specialized administrative training beyond High School Associate’s degree (A.A./A.S.) or equivalent from two year college preferred 2-4 years related experience Experience with project tracking and managing schedules preferred Experience with an ERP/time keeping or billing program preferred An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above. Proficiency with computer software applications including Microsoft Word, Excel, Teams, databases, and business email Highly adaptable with exceptional follow up skills Excellent organizational, oral and written communication, and interpersonal skills

 

PHYSICAL DEMANDS:

  While performing duties of this job, the employee is regularly required to talk, hear, and is frequently required to work/type at a computer. Specific vision abilities required by this job include close vision, distance vision, color vision and the ability to adjust focus.
