Parexel is looking for a Facilities Coordinator to join our Early Phase Clinical Unit located in the MedStar Harbor Hospital! In this role, you will provide support and assistance with everyday matters that require attention within the clinic. Key Accountabilities:

  • To supervise and ensure the effective and professional conduct of the main reception staff, function and switchboard services.
  • Ensure facility cleaning function is performed according to high standards of cleanliness and hygiene.
  • Support and maintain 3rd party maintenance agreements
  • Back up Receptionist and support front desk
  • Assist with coordinating the booking of all meeting rooms and shared facilities.
  • Maintain inventory and procurement of office supplies and stationery.
  • Issue of all Purchase Orders according to existing policies, including tracking of payments and audits of Purchase Order values.  
  • Regularly update policies & procedures related to function
  • Maintain an ongoing open issues and resolutions log
  • Open and track work order tickets  
  • Assist the Facility Manager to ensure the smooth running of the Facility
  • Coordination of general and/or preventative maintenance (liaising with vendors / landlord)
  • Overseeing outsourced maintenance work
  • Ensure the smooth running of Office Automation Equipment (i.e. Multi Function Copiers)
  • Ensure that the health, safety and security of the facility, staff, visitors, and equipment is in accordance with policies and/or legislation
  • Management of Office keys, Access Cards, CCTV, Security Passwords, fire systems and fire extinguishers

  • Experience in the use of hand tools for minor repairs
  • Basic AV knowledge

Your Profile:

  • Minimum Education: GED/HS Diploma with 6 to 7 years’ experience OR Associates Degree with 5 years’ experience
  • Required: experience working in a clinical or hospital setting
  • Comprehensive knowledge of relevant software: Microsoft Windows Operating System and the MS Office Suite including Word, Excel, Outlook, and PowerPoint.
  • Self-motivated and independent
  • A flexible attitude with respect to work assignments and new learning
  • Willingness to work in a matrix environment and to value the importance of teamwork
  • Fluent in verbal and written English
