Responsible for client communication and billing for the archived material at PCS-PA.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:  

Conform to Standard Operating Procedures (SOPs) and Good Laboratory Practice (GLP) regulations.

Prepare letters and relevant documents to notify clients of all study materials past their archive retention period.

Communicate directly with clients regarding disposition of their archived materials.

Oversee all client requests concerning archived materials.

Monitor and track invoicing activities and communicate revenue details to the department manager.

Provide information to other departments in response to their client requests regarding Archived materials.

Perform computer entry of study records into the archive database.

Place and retrieve material in a secure and controlled access archive, as assigned.

Organize, file and retrieve study and ancillary facility records, as assigned.

Check-in/check-out materials from the archive, as assigned.

Perform all other related duties as assigned.

 

QUALIFICATIONS:

Education:  High school diploma or General Education Degree (G.E.D.).  Associate’s degree (A.A./A.S.) or equivalent desired in business or administrative assistant discipline.

Experience:  1-2 years of customer service experience required; 1-2 years of office experience or administrative training required; experience in billing preferred.

An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.

Licensure:  None.

Other:   Proficient computer skills with departmental databases (Access), word processing (Word), and spreadsheet programs (Excel).  Must be organized, have attention to detail and possess good problem-solving skills.

 

PHYSICAL DEMANDS:

Regularly communicate with employees/customers through various technologies, media, sources and contacts.  Must be able to exchange accurate information.

Regularly operate a computer and occasionally operate other office productivity machinery such as a calculator, copy machine, and computer printer.

Occasionally move about inside the office to access file cabinets, office machinery, etc.

Occasionally lift and carry up to 45 pounds (archived material) up and down stairs, laterally from shelf to shelf and from and to shelves of varying height; up to 5 feet high.   

 Occasionally stoop, kneel, or crouch when accessing archived materials. 

 

WORK ENVIRONMENT:

General office working conditions; the noise level in the work environment is usually quiet.
