Safety Project Coordinator

As Safety Operations Coordinator you will provide support and assistance to Safety Project leads and project managers related to assigned projects. You will also support all project-related activities for assigned projects in accordance with SOPs, policies and practices.

Main responsibilities:

  • Assist with the establishment of new procedures and offer suggestions for process improvements for existing procedures.

  • Set up and maintain project documentation files and records as assigned.

  • Assist with the creation and coordinate information and communications for assigned projects.

  • Update and maintain internal databases, tracking systems and project plans with project specific information.

  • Prepare, analyze and distribute status, tracking and project finance reports.

  • Prepare presentation materials for meetings and project summary data.

  • Coordinate project team and customer meetings, identifying and planning appropriate medium (Web, telecon, face to face) and ensuring arrangements are handled appropriately. Determine and plan all meeting requirements in advance, as directed by the Safety Project Manager/ Lead.

  • Take and record minutes, notes and actions at assigned meetings, distribute and follow up accordingly.

  • Coordinate with other project support staff within and across the organization to identify and consolidate support processes.

  • Support project start-up, including tracking start-up, submitting systems request, setting up of applications required for Lifecycle Safety projects and aby other start-up activities as assigned.

  • May support sales activities and sales presentations (capabilities, bid defenses) and proposal development, as required.

  • Serve as backup contact for internal project team as designated by Safety project manager/ Lead.

  • Undertake project management activities as directed by Safety project manager/ Lead.

Qualifications:

  • Bachelor’s degree would be preferred

  • Word processing and data entry skills

  • Strong organizational skills and time management skills

  • Flexibility and excellent verbal and written communication skills

  • Ability to deal successfully with many internal clients competing for attention, services and resources

  • Good attention to detail and accuracy

  • Ability to establish and maintain effective working relationships with co-workers, managers and colleagues.

  • Highly motivated and organised with a flexible attitude 

  • Ability to follow instructions/guidelines, utilize initiative and work independently
