The primary role of the Supervisor Facilities is to ensure the delivery of Facilities service to internal and external customers. Responsibilities include; employee orientation, meeting planning, budget and resource planning, space planning and overall smooth operations. Location and personnel responsibility at a level of operation.

Key Accountabilities:

Operations Oversee all aspects of operational activities, including budget and resource plan. Ensure appropriate tracking of budget as dictated by the forecasted budget. Monitor overall unit performance to include all interdepartmental moves. Undertake the full range of duties relevant to the leadership, management and development of direct reports to ensure that their performance meets and/or exceeds both the business and their own personal goals/objectives. Oversee the day-to-day services and facilities operations (maintenance, mailroom services, Reception) New Employee Orientation Present Facilities section of New Hire Orientation. Review new list weekly from Human Resources. Determine office location and needs. Ensure appropriate OS forms are completed (parking, nameplate, etc.). Overview of iProcurement. General Ensure supply orders are properly ordered and verified according to company standards. Verify charges and reconcile invoices. Assist with organizing company sponsored events. Assist with both paper and waste disposal recycling program. Communicate with outside vendors. Take on "special projects" as they arise. Resource for general Parexel information for all employees. Facility Issue parking assignment. Responsible for communication with property management. Prepare and submit formal requests for special needs. Notify proper person of issues related to temperature control, grounds, security, electricity, gas and water, etc. Manage key inventory for desks, file cabinets, office, interphones and bell systems. Receptionist (as needed) Answer all calls in a timely manner. Screen calls as needed. Greet visitors (clients/vendors) with a professional and positive attitude. Meeting Planning (as needed) Coordinate special room requests ensuring special setups and equipment needs are met. Coordinate meal requests for client/internal meetings. On-site coordinator for videoconference call training and call placement. Mailroom Services (as needed) Distribute incoming mail and faxes. Process outgoing mail. Assist with outgoing courier packages. Responsible for mail deliveries between facilities QualificationsSkills: Excellent interpersonal, verbal and written communication skills. Service minded. Problem solving skills. Good Team player and Self-starter. A flexible attitude with respect to work assignments and new learning. Ability to manage multiple and varied tasks with enthusiasm and prioritize workload with attention to detail. Willingness to work in a matrix environment and to value the importance of teamwork. Negotiation skills. Knowledge and Experience: 3 years of proven experience in customer services and/or Office Services Supervisory experience. Education: High School diploma
