Job Purpose:

Support Academy Director and Consultants in exploring business opportunities in market, manage client data, needs & solutions matching activities to ensure Academy Business Development effectiveness and efficiency; Manage Academy resources planning, operation administration activities for high quality learning service. Explore client with accurate customer data maintenance, to support Academy BD activities, as well as client relationship management.

1. Pre-Business Development Sales Administration

• Support academy BD colleagues to collect and analyize client information and market data.

Based on the client information in both Internal system (e.g. Sales Force) or external websites (Recruitment and / or industry news) and analyize the possible needs in people development.

Building connections with regional commercial teams and consolidate sales and marketing information for business planning.

Compare with the market offerings in regional market, and analyize competitive subject matters in market.

• Support cold call and emails to explore potential clients for BD meeting and client interview.

Through the supports from commercial teams, or independently making call or sending cold call emails, to build connections with clients, and explore client meeting opportunities;

Coordinate client meetings and support academy directors, consultants, financial managers in building Academy proposals.

• Support Proposal &Contract teams and Consultants in executing projects.

Coordinate with proposal and contract team in preparing regarding academy projects in systems.

Work with operation team and consultants in regarding project executions.

2. Manage Academy Operation Project Management

• Planning and organizing academy learning calendar, and manage training event onsite support: Support trainers in classroom delivery, materials printing, online workshop activity and postworkshop survey and report.

• Manage administration supports vendor to comply with quality and cost criteria, and on time delivery.

• Support trainer for materials development – layout, translations, compliance review support

• Training record Management: Participants List, Logistics documents in Operation Management channel with 95% accuracy, including sign in sheet, attendee list, printings, and summary report within 1 week after workshop delivery

• Courseware Management: Monthly check with trainers about program design and support to upload the latest marketing files and courseware (flyer, introduction, slides, handout…) in Program and Marketing Management channel

• Generate billing summary of service fee within 1 week after workshop delivery; Follow up trainers’ reimbursement and provide P/T report with 100% accuracy within 2 months after program; Proceed invoice process once receive client’s approval.

• Responsible for the vendor code set-up to and request payment monthly for printing vendors and consulting suppliers, track the consultant fee with external consultants

• Work closely with BD team and Financial Managers on the daily financial management reports and coordinate monthly academy report

3. Manage Customer Relationship

• Keep timely and responsive communication with main clients (Lilly, Ascentage, Pfizer and Hengrui) in contracted services execution details, capture client’s training needs, address challenges and issues management.

• Build Customer profiles in Shared Points: including by client contract and proposal records. Upload contract once it’s signed and review proposal tracker in Business Channel; Maintain master file up to date to build up client business record, including contract value, program list, invoice and evaluation for business analysis and reportQualificationsSkills:

• Proficient MS office software skills and good paperwork skill

• A flexible attitude with respect to work assignments and new learning

• Ability to manage multiple and varied tasks with enthusiasm and prioritize workload with attention to detail

Knowledge and Experience:

• More than 3 years work experience in L&D related with project management experience

• Clinical research working experience or knowledge will be a plus

Bachelor’s degree
