The role is full time, permanent, based in our Moscow office.

This position plays as first point of contact a vital role in representing Parexel. Correct and friendly receipt of all visitors and guests, managing the reception area and fulfillment of diverse operating functions are the core functions of this position.

Main responsibilities: Reception desk / Switchboard - Answer and Transfer of calls, screening calls and take messages

- General administrative functions (filing, printing, copying, faxing, laminating etc)

- Greet visitors (clients/vendors) with a professional and positive attitude and in line with the security procedures

- Coordination of transport/taxi arrangement for PAREXEL visitors, volunteers and external visitors

- Coordinate travel requests, hotel reservations, vehicle bookings with the contracted travel agency Meeting Planning - Coordinate the meeting room schedule and ensuring special requirements in terms of setup and equipment are met

- Coordinate/distribute hospitality requests for internal/external meetings

- On-site coordination for videoconference calls Mailroom services - Process incoming and outgoing mail, faxes and packages

- Coordinate courier express service

- Manage stock of applicable supplies

- Responsible for distribution of mail deliveries between facilities Administrative Support - Administration of helpdesk requests

- Raising/administration of purchase orders

- Administration of Company vehicles

- Coordination with archiving company QualificationsRole requirements: Fluent English and in local language Proven experience in the field of customer care service with emphasis on reception Excellent interpersonal and telephone skills Team oriented and with social competence, work creatively in a fast-paced environment Represent Parexel to clients in a positive and professional manner Highly service oriented, demonstrate knowledge in coordination and competence for communication at all levels, efficiently organized, good knowledge of Microsoft Windows Office High school diploma, vocational education/professional training as secretary, foreign language correspondence clerk, hotel business employee, management assistant in hotel and hospitality, travel agent
