Benefits - Leave of Absence Analyst

Overview

The Benefits Leave of Absence Analyst supports absence and disability management. The position collaborates with internal and external partners to ensure leave of absence programs are in compliance with policies and employment laws.The role requires delivering a high level of service in a timely, customer centric manner. Supports Parexel’s transition to Workday absence management and implementation of streamlined processes involving leave and payroll processing.

The Parexel benefits team is regional (Americas, EMEA and APAC). The primary focus of the Analyst role is US and Canada leave administration and the opportunity to support global initiatives. Currently this is a remote position that will support a flexible work arrangement of 2-to-3 days per week in the office in the future.

Key Accountabilities and Responsibilities:

• Lead US and Canada leave of absence and disability management programs in multi-state and multi-provincial environment

• Collaborate with outsourced leave and FMLA vendor and internal partners to ensure timely, accurate, compliant, and best in class operations

• Oversee all aspects of the leave entitlement life cycle

• Demonstrated experience and ability to interpret and administer leave programs and policies in accordance with applicable provincial, federal, and state employment laws, FMLA, PMFL, USERRA, ADA, HIPAA, Canada laws and Employment Insurance

• Research, investigate and respond to inquiries from multiple stakeholder inquiries via mailbox, service desk tickets and phone calls to provide timely general guidance and direction on leave administration and escalated inquiries

• Process and administer interactive ADA requests

• Provide employee support for accommodations and stay at work programs

• Coordinate return-to-work planning between leave vendor and Parexel

• Coordinate with HRBP alternative work arrangements as necessary

• Process Ergonomic evaluations upon request

• Administer company workers’ compensation programs according to the plan documents, state, and federal regulatory requirements

• Liase between worker’s compensation and leave of absence vendor

• Coordinate integration with external leave vendors, sick and paid time off policies, internal HRIS/IT, and payroll systems

• Ensure leave status is accurately reflected in HRIS/IT systems and collaborate with payroll to ensure accurate supplemental pay, if applicable

• Provide payroll reporting/wages for leave of absence payments on a pay period basis (Canada & US)

• Audit, analyze and reconcile data in multiple systems and maintain databases as required

• Analyze data for trends

• Maintain strong knowledge of systems and process flows to support vendors, HRIS/IT and payroll interfaces

• Ability to use technology to improve workflow processes and automate daily tasks

• Create and update policies and communications

• Maintain and update process and procedure documents

• Oversee monitoring of benefit premium payments for employees on unpaid leave

• Ensure the administration of Company benefit plans are compliant with established guidelines, processes, and requirements

• Collaborate with North America and Regional benefits staff, Employees, HR Shared Services, HR Business Partners, HRIS/IT, Payroll, Finance, and external stakeholders, as necessary

• Provide general benefits administration support to the North America team

• Support the Total Rewards team and participate in adhoc and global projectsQualificationsKnowledge, Skills and Experience

• High degree of confidentiality and strong customer service skills and responsiveness when engaging with employees, managers, HR, and 3rd party vendors

• Attention to detail, critical thinking, analytical and problem-solving skills, and ability to provide prompt, accurate responses

• Strong organizational skills and ability to multi-task

• Ability to work or act as liaison between other departments and partner with others

• Self-starter with ability to work independently

• Proficient or advanced knowledge of Microsoft office suite - specifically Outlook, Excel (including Pivots and VLOOKUP’s)

• Experience with HRIS, ADP, Workday, and Workday Absence Management a plus

• Must be organized and comfortable working in face paced environment

• Practical knowledge and application of Canadian and US benefit programs and laws

• Strong conceptual and problem-solving skills to evaluate problems and apply knowledge to identify appropriate solutions; ability to resolve issues effectively and efficiently.

• Experience working in a highly matrixed organization

• Must be fluent in English – ability to effectively communicate both verbally and in writing

• Experience in working a customer service focused environment

• Minimum 5 years’ experience in Leave of Absence Management; experience in other areas of HR/benefits administration preferred

Education
