Job Description

Join our international team and be the key support to clinical research projects, streamlining communication, maintaining systems, managing import process, and managing documents & information.

Office location is at Macquarie Park, Sydney (Hybrid)

Key Responsibilities: 

  • Be the point of contact for investigational sites, vendors, and multi-functional project teams
  • Be responsible for document management including document compiling, procurement, processing, translation, and filing
  • Be a point of contact with customs authorities, courier companies, and carriers for different issues and negotiation
  • Stay abreast of changes in import laws/regulations
  • Classify goods according to the tariff coding system
  • Manage, track, and maintain all import information and documentation
  • Request and compile import documentation (customs invoices, certificates of origin, and cargo-control documents)
  • Coordinate goods dispatch, storage, and delivery
  • Monitor import licenses validity
  • Track the number of imported medication and exported biological samples in accordance with the state authorities permissions (import licenses)
  • Support operational issues regarding customs clearance or shipment delivery
  • Update and maintain (automated) tracking systems, calendars, and schedules
  • Coordinate various activities within clinical research projects
  • Communication point for hospitals participating in the clinical research projects
  • Organize meetings, prepare agendas and minutes
  • Provide general administrative support to the Clinical Operations Department
  • Interact with dedicated study vendors and other PSI departments, as needed

Qualifications

  • College/University degree or an equivalent combination of education, training & experience
  • Experience in administrative work of any sector are welcome to apply
  • Detail-oriented, able to plan, multi-task, and work effectively in a fast-paced dynamic, global team environment
  • Good problem-solving abilities and be adaptable and flexible
  • Communication and collaboration skills with an excellent customer service mind and a positive attitude to tasks and projects
  • Excellent interpersonal skills, combined with a positive attitude
  • Proficient use of MS Office applications (Word, Excel, and PowerPoint)
