SUMMARY:

The Site Administrative Coordinator supports the Asheville, NC manufacturing site for Thermo fisher Scientific! Provide administrative support to the Site Director and senior leadership team. Your role is critical to the success of the Laboratory Equipment team by enabling streamlined and efficient communications among the various colleagues while assuring an organized office environment and manufacturing environment for the employees.

What will you be doing?

  • Prioritize and coordinate meetings (both on and off site).
  • Support Business Resource Groups (BRGs) supporting diversity and inclusion.
  • Manage conference room calendars and catering arrangements for various meetings and corporate site visitors.
  • Ensure break rooms and conference rooms are maintained and stocked.
  • Design and order annual t-shirts for 500 employees. Order and support recognition awards and events.
  • Manage the flow of communication to the site via email announcements and digital communication boards (35% of time).
  • Order office supplies and equipment for office area. Work with cafeteria staff for Holiday meals, OT schedules, and weekly menu (attend monthly meetings with catering manager and procurement manager). Process purchase orders and invoices as needed.
  • Manage credit cards for site expenses including Purchase Card and Travel & Entertainment card. Submit expense reports and reconcile expense reports monthly.

EDUCATION

  • High School diploma or GED is required, or equivalent combinations of education, training, and meaningful work experience may be considered.
  • Associates degree preferred.

EXPERIENCE

  • Minimum of 3+ years hands on professional administrative experience supporting a functional business leader. Manufacturing and/or hospitality experience preferred.
  • Demonstrated experience in working independently and creatively to identify, analyze, and solve problems. Must have strong written and verbal communication skills.
  • Interact and connect with individuals at all levels of the organization. Must have excellent knowledge and experience in the Microsoft Office Suite of software applications (MS Word, Excel, Access, and PowerPoint).
  • Work in a fast-paced environment with demonstrated ability to prioritize multiple competing tasks and demands.
  • Must type 60 w.p.m. and possess excellent business writing, editing, and proofreading skills.

KNOWLEDGE, SKILLS, ABILITIES

  • Good interpersonal skills. Make travel and guest arrangements.
  • Lead meeting logistics: invitations, room reservations, arrange catering.
  • Adaptability/Flexibility – being open to change, variety and work as a great teammate. Ability to reconcile expense transactions timely. Ability to handle and prioritize multiple tasks at one time.
  • Ability to connect with persons outside the organization.
  • Ability to take raw data and convert to charts/graphs. Ability to make PowerPoint presentations from scratch. Occasional overtime may be required.

PHYSICAL REQUIREMENTS:

Position requires moving about office location in a manufacturing environment; ability to manipulate (lift, carry, move) objects of light weights up to 25 pounds; arm, hand and finger dexterity, including ability to grasp and type for prolonged periods of time; visual acuity to use a keyboard, computer monitor, operate equipment, and read materials for prolonged periods of time; ability to sit, reach with hands and arms, talk, and hear for prolonged periods of time. Lifting up to 30 pounds; stocking break rooms, stocking refrigerators in meeting rooms and have the ability to climb up and down stairs including walking and carrying

items.
