Job Description
KEY RESPONSIBILITIES:
Executive Assistant Support to LPG Commercial Leader:
- Arrange manager’s working calendar and business trip agenda
- Support manager’s travel arrangements including but not limited to Visa application, flight bookings, transfer bookings, hotel reservations, office arrangements, relevant printouts, car rental service, T&E application, etc.
- Arrange critical business meetings with logistics support (Staff meeting, QBR, MBR, etc.)
- Gate keeping of applications on division head’s approval such as contract sealing, approval in system, etc.
- Prepare documents, meeting agendas, meeting minutes, presentations, and spreadsheets for approval.
- Provide other general administrative support, such as filing, scanning, copying, system operations, etc.
- Provide assistance in division big events such as townhall, kick off meeting, celebration events, etc.
- Support internal communication to division staff like company policy communication or required actions reminder.
- Work closely with Global/APAC BU leadership team to manage their China trips.
- Other tasks assigned by manager.
Commercial Excellence Support to LPG Commercial Organization:
CAS Survey Management
- Monthly upload CAS survey raw data based on historical quotation and report out with dashboards
- Collaborate with sales on CAS alert follow-up actions.
Other Sales Support Jobs
- Support internal orders from cross-divisions or other TMO entities, including but not limited to quote, contract acceptance/review, order entry coordination, other pre-sales, in-sales and after-sales support.
- Manage LPG MD Sales Authorization per policies.
- Legacy new lab orders sales operations support.
- Other sales support job if needed.
QUALIFICATIONS:
- Bachelor degree. 3+ years of related working experience.
- Proficiency in English, both in Spoken and Written.
- Good communication skills and strong attention to detail and work accuracy.
- Advanced proficiency in Microsoft Outlook, Excel, PowerPoint, Word.
- Good commercial acumen and data analytics skill is preferred.
- Strong process & teamwork minded and high commitment to duties.
- Well organized in time and priority management.
