The Facilities Coordinator provides general site support through the performance of assigned tasks related to facility services and helps maintain a secure and well-functioning work environment in tour office in Prague, Czech Republic, as well as covering the facilities needs in our Slovakian office in Šamorín.

Basic Purpose and objective: The Facilities Assistant supports the Facilities Management team in the delivery of facilities management throughout the site. The Facilities Assistant runs the frontdesk.

Position scope: Facilities Assistant will be the focal point between the facilities department, facilities management and the other departments.

Duties and Responsibilities:

  • Responsibilities:

  • Performs general facility support tasks related to one or multiple functions, shipping and receiving, furniture and equipment moves, and conference room set up.
  • May coordinate building or equipment maintenance tasks such as building security and access system maintenance in coordination with the local building facilitators.
  • May coordinate the purchase of supplies and handle supply inventories.
  • Responds to facility-related emergencies as assigned.
  • Coordinates assigned activities with outside contractors and vendors, as needed; assist in analyzing vendor contracts and make recommendations for improvement.
  • Support shipping service operations and customs clearance procedure.
  • Runs front desk with respect to visitors, couriers and other external and internal customers.
  • Manages of internal documents and office correspondence, document filing and archiving.
  • Covers and coordinates remotely the facilities and administrative needs in our Slovakian office.

    Education

  • Bachelor’s degree in a related field or equivalent experience.
  • Experience

  • Experience that provides the knowledge, skills, and abilities to perform the job (comparable to at least 2 years).

  • Able to follow corporate standards and perform tasks efficiently and accurately.
  • Consistently positive demeanor and the ability to interact effectively.
  • Strong verbal and written communication skills in both English and local language.
  • Accepts and manages change.
  • Strong communication and presentation skills in an international business environment.
  • Proven computer proficiency.
  • May require a general understanding of asset tracking, and/or inventory monitoring to a certain extent.
  • Knowledge of the local Health and Safety regulations will be an advantage.
  • Able to communicate, receive, and understand information and ideas with diverse groups of people in a comprehensible and reasonable manner.
  • Able to use and learn standard office equipment and technology with proficiency.
  • Able to perform optimally under pressure while prioritizing and handling multiple projects or activities.
