Job Title: Indirect Procurement Representative

Reports to: Team Leader, Indirect Procurement

Career Band: 2

Position purpose: Indirect Procurement function is part of Global Business Services Procure-to-Pay EMEA. This position is responsible for creation and maintenance of Indirect Purchase Orders in the Coupa P2P system. This position resolves internal/external queries related to Indirect Purchase Orders.

Key Responsibilities:

  • Timely and accurate processing of Indirect Purchase orders for 3rd party suppliers in Procure-to-Pay system Coupa
  • Interfaces with various internal/external customers and business partners to resolve any queries
  • Deals with queries in an efficient and timely manner
  • Ensures all SOX and Audit compliance requirements are met
  • Performs regular reporting activities
  • Engages with specialists (tier 2) after due diligence with the user, and after properly documenting all the information within the case management tool
  • Engages with category leaders, process owners or IT based on documented processes
  • Follows established service quality standards and meets established processing times and follow-up actions in accordance with departmental standards
  • Stays abreast of new processes and initiatives within the company
  • May perform other related/ad hoc tasks/report requests as required and/or assigned

Requirements for Qualification / Education / Experience:

  • Preferably 1 year experience in a shared services environment, although fresh graduates are welcome to join
  • Working knowledge of Coupa or ServiceNow (or other ticketing system) is a plus
  • Excellent interpersonal skills, friendly and outgoing personality who enjoys assisting others.
  • Demonstrates great communication skills
  • Excellent problem solving skills and ‘can do’ attitude
  • Ability to exhibit patience and empathy and diffuse customer dissatisfaction.
  • Demonstrates attention to detail and quality, and sense of urgency for quick resolution
  • Ability to work through and adapt to change

Non-Negotiable Hiring Criteria:

  • High School education required; college degree preferred
  • Fluent English
  • Excellent listening, oral, and written communication skills
  • Solid understanding of computer basics (Windows, Excel, Word, Email, and Internet)
