Executive Assistant

IQVIA Biotech, a global full service CRO providing clinical solutions to smaller biotech companies, is seeking the support of an Executive Assistant to the President of the company. This role will provide general administrative support to a team of executives, some of whom work remotely from various time zones. This includes: basic office management duties for corporate headquarters; coordinate, plan, execute corporate events and client/management visits in partnership with QA, sales, exec, and project teams.  

ESSENTIAL JOB FUNCTIONS, DUTIES AND RESPONSIBILITIES:

  • Manage calendar and email of the President, arrange President’s detailed travel itineraries, sometimes speaking with AmEx travel or specific hotels or airlines
  • Compile and complete expense reports for President and ~5 executives
  • Make travel, meeting and event arrangements, interfacing with caterers or other vendors as needed
  • Prepare PowerPoint presentations, reports, and data, relying on various internal systems and Business Partners (HR, Finance, etc.)
  • Organize and prepare meeting agendas, electronic and physical meeting rooms
  • Control HQ-wide the reservation of meeting spaces (approx. 6), resolve scheduling conflicts for conference rooms and flex-office space
  • Setup and run web and teleconferences
  • Send communication and reminders, as requested
  • Provide support in the following systems, including but not limited to: MS Word, MS Excel, MS PowerPoint, MS Outlook,  MS Teams, Visio, PeopleSoft, Axiom/Concur, and Acrobat Professional
  • Order supplies for the office, occasionally including branded material for study/functional/client teams
  • Reception duties NOT required; perform other duties as assigned

KNOWLEDGE, SKILLS AND ABILITIES:

  • Well-developed interpersonal and communication skills
  • Strong planning and organization skills; teamwork mindset
  • Strong ability to prioritize and expedite requests as appropriate
  • Demonstrated ability to handle confidential matters discreetly
  • Strong attention to detail
  • Working knowledge of MS Word, Excel, PowerPoint, Outlook, Teams, other standard office systems
  • Knowledge of Windows environment, the internet, and web-based and virtual approaches for partnering in and out of the office
  • CRO or biopharma industry experience preferred

CRITICAL JOB FUNCTIONS IN ACCORDANCE WITH ADA CRITERIA:

  • Ability to lift 15-20 lbs.

MINIMUM RECRUITMENT STANDARDS:

  • Associate’s degree plus three years of administrative support/reception experience or equivalent combination of education, training and experience.
  • Strong interpersonal and organizational skills.
  • Working knowledge of MS Suite (Word, Excel, PowerPoint)

CLASSIFICATION:

This position is classified as non-exempt under the Fair Labor Standards Act; employees are eligible for overtime compensation subject to prior approval.
