Job Summary

We are seeking an Assistant Human Resources Coordinator for our site located in Frederick, MD.

The Assistant Human Resources Coordinator will perform a wide variety of administrative duties in support of the human resources function, including establishing and maintaining personnel records, assisting employees by answering questions and referring them to appropriate resources, and assisting with other HR tasks and projects, as assigned. Coordinate Workers Compensation Reporting, update and maintain Enos Data Base to ensure accurate OSHA Records, Generate and Post OSHA Logs, submit OSHA Data to State Agencies as required, maintain Occupational Health Records for personnel to support operation’s requirements of various regulatory agencies. Assist with on-boarding of new talent.

ESSENTIAL DUTIES AND RESPONSIBILITIES:  

  • Establish and maintain Personnel records in compliance with Company Retention Policy and federal and state employment law.
  • Provide general guidance and assistance to team members related to Human Resources including but not limited to Benefit Plans and Resources, Compensation, Career Development, and Policies.
  • Use the HRIS system (SuccessFactors) to generate, download and manipulate data to produce reports as requested. Enter Leave of Absence information as requested.  
  • Generate Personnel Action Forms (PAFs) for routine changes as requested, submitting to HRIS for entry within established deadlines, and routinely monitor basic data for assigned group(s) to ensure accuracy.
  • Serve as the primary contact for employees regarding leave of absence information and medical returns.
  • Schedule pre-employment TB and MMR with occupational health providers upon notification from TA and review results for required clearances.
  • Send Welcome letters to new hires with details on first day/first week hours and expectations. Participate in bi-weekly functional  orientation to explain benefits options and elections process.
  • Act as one of the Super Users of Enablon for the Quarantine Services Operations sites.
  • Partner with EHS&S Manager to ensure team members and people leaders understand their role and requirements for maintaining records of incidents and injuries in a timely manner.
  • Review Events and Injuries in EHS database (Enablon), report injuries to CRL’s third party Workers Compensation Administrator, and coordinate with occupational health providers and injured employee and management teams to ensure timely treatment, maintain physical and electronic Workers Compensation records, including OSHA recordkeeping, and monitor events in Enablon to ensure all events are Validated in an appropriate timeframe.
  • Review Tuition Reimbursement applications for eligibility and timeliness, ensuring forms are completed and routing them to HRBP and appropriate manager for approval, and submission to Payroll.
  • Process and notify supervisor, site leader and HR Manager of Service Awards. Place orders for Milestone Anniversaries with Glass Awards (20, 25, 30, 35 year), and coordinate presentation with senior management.
  • Process Primate Technician Milestone increases according to established parameters upon notification from supervisors.
  • Collaborate on confidential assignments.
  • Provide general administrative support to HR, as assigned.  
  • May provide administrative support to Operations Management team, such as Document Coordination (SOPs, Training Manuals, Occupational Health / TB Testing).
  • May assist with scheduling, planning and coordination of events or activities to support employee engagement, ERGs, or other CRL or Site initiatives.
  • Perform all other related duties as assigned.

Job Qualifications

  • Education:  High School Diploma/GED required. Associate’s (A.A./A.S.) degree or equivalent in business administration or related discipline desired.  Bachelor’s degree (B.A./B.S.) in human resources preferred.
  • Experience:  4+ years related experience in administrative discipline; 1+ years previous experience in an HR department desired, experience administering workers compensation strongly preferred.

An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.

  • Other:  Demonstrated advanced skills with word processing, spreadsheet and database applications.  Familiarity with HRIS Systems. Exceptional attention to detail. General knowledge of principles and practices of Human Resources Administration required.  Discretion, judgment, tact and diplomacy required, particularly with respect to handling highly confidential information.

The pay range for this position is $25-$27/hour. Please note that compensation varies based on factors including, but not limited to, experience, skills, education, and certifications.
