Position Summary:

Working as part of the Engineering and Facilties Department you will deliver crucial KPI’s set by your line manager. You will form an integral part of the department based at the Horsham facility. Primary duties will be ownership of the asset management system for the Facilities and Engineering Team ensuring efficient and effective use of planning. Scheduling all resources to conduct maintenance activities which result in minimum downtime and maximum productivity. You will also support the administration function for the Facilities and Engineering Department which will include updating, filing and archiving GxP documents, taking minutes from meetings and data entry. There will be a requirement to assist with Front of House to cover annual leave.   

Key Responsibilities (will include, but not limited to):

  • Manage the AMS (Maximo) work orders for the Engineering and Facilities Department .
  • Update the asset management system in regard to Assets, Job Plans, Preventative Maintenance as required.
  • Support the Asset management system service desk.
  • Support the withdrawn from use system
  • Raise Purchase requests and receipt invoices, as required.
  • Determine and identify any vendors required for work orders. Arrange for vendor to complete works on time ensuring ThermoFisher procedures are followed. Plan vendors work with the department TL’s ensuring all documents are in place prior to attendance – RAMS, Calibration Certs, Competency Certs etc.
  • Keep accurate metrics on performance of planning and scheduling functions and provide timely reports to Facilities and Engineering Leadership.
  • Liaise with Engineering and Facilities Department with regards to down time requirements.  Liaise with Operations and Supply Chain.
  • Communicate schedule to stake holders and action follow ups accordingly.
  • Author and amend GxP documentation in the electronic document management system (EDMS).
  • Front of house coverage; for example telephone, meeting bookings, stationary ordering
  • To participate and contribute to Practical Process Improvement (PPI)
  • Any reasonable request from Line management.

Minimum Requirements/Qualifications:

  • Previous experience in administration
  • Office 365 proficient (Word/Excel and Outlook)
  • Previous experience in asset management (favorable)
  • Previous experience in GxP (favorable)
